- The app uses your phone microphone only when you start or permit speech-to-text transcription.

1. Who we are
This Privacy Policy explains how Soundfree OU (registry code 16814223), located at Harju maakond, Tallinn, Haabersti linnaosa, Haabersti tn 5, 13516, Estonia ("Soundfree", "we", "us" or "our"), collects and uses personal data when you use Soundfr and related services (the "Service").

2. Scope of this policy
This policy applies to the mobile application, related web pages, accounts, customer support, and backend transcription services that we operate. It does not apply to third-party websites, app stores, operating systems, or services that we do not control.
3. How the speech-to-text feature works
- When you tap record, enable live transcription, or otherwise authorize the feature, the app accesses your device microphone.
- The app transmits live audio from your microphone to our server for the purpose of generating text transcription.
- We do not store the audio recording itself on our servers. The audio is processed transiently to create the transcript and is then discarded.
- We store the resulting transcript text, including any edits or labels you add, because this is the content you create and may want to view, save, search, sync, export, or delete later.
- We do not use your audio to create a voiceprint, identify speakers, target advertising, or sell personal data.
- We do not use audio recordings or transcript text to train general speech recognition, AI, or advertising models unless we separately disclose this and obtain any legally required consent.

5. Sensitive content in transcripts
Transcript text may include personal data about you or other people, and may include sensitive information if it is spoken during recording. You are responsible for deciding what to dictate or transcribe and for obtaining any required permission before recording or transcribing other people. Do not use the Service to secretly record or transcribe private conversations, or to process information that you are not legally allowed to collect or share.
6. Legal bases for processing
Where EU/EEA or UK data protection law applies, we rely on the following legal bases:

7. How we share personal data
We do not sell your personal data. We share personal data only as described below or with your direction:
- Service providers and processors: hosting, storage, security, authentication, crash reporting, analytics, customer support and AI text-improvement services.
- App stores and platform providers: Apple, Google, or other distribution platforms may process data under their own terms and privacy policies.
- Legal and safety purposes: if required by law, court order, or government request, or to protect rights, safety, security, and prevent abuse.
- Business transfers: if we are involved in a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate protections.
- At your request: for example, when you export, share, copy, integrate, or send transcripts to another service.
Any third party that processes personal data for us must protect personal data according to appropriate contractual, technical, and organizational safeguards.
If a third-party AI or transcription provider processes audio or transcripts, we will identify it here: We may send transcript text and related instructions to OpenAI through its API in order to improve, edit, format, summarize, or otherwise process the text at your request. We do not send audio recordings to OpenAI unless we expressly state otherwise in the Service. OpenAI acts as our service provider/processor for this processing and is not permitted to use the data for its own independent purposes except as described in OpenAI's applicable business/API terms.
8. International transfers
We are based in Estonia. Personal data may be processed in the EU/EEA and in other countries where our service providers operate. If personal data is transferred outside the EU/EEA or other protected region, we use appropriate safeguards such as an adequacy decision, Standard Contractual Clauses, transfer impact assessments, or other lawful transfer mechanisms where required.
9. Data security
We use reasonable technical and organizational measures to protect personal data, including access controls, monitoring, and encryption in transit TLS/HTTPS. We aim to limit access to transcripts to personnel and processors who need it to operate the Service or respond to your requests. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Data retention and deletion
- Audio recordings: We do not store audio recordings on our servers. Live audio is processed transiently and discarded after transcription.
- Transcripts: We store transcript text until you delete it, close your account, or until 1 year.
- Backups: Deleted transcript text may remain in encrypted backups for a limited period of 1 year before being overwritten, unless required for legal or security reasons.
- Logs and diagnostics: We retain service logs and diagnostics for 1 year, unless longer retention is necessary for security, fraud prevention, debugging, or legal compliance.
- Legal records: Billing, tax, accounting, and compliance records may be kept for the periods required by applicable law.
11. Your choices and controls
- Microphone permission: You can grant or revoke microphone permission in your device settings. Without microphone permission, speech-to-text features will not work.
- Transcript controls: You can view, edit, export, or delete transcripts by contacting us.
- Account deletion: You can request account deletion through app settings or by contacting info@soundfr.ee.
- Marketing preferences: You can unsubscribe from marketing messages using the link in the message or by contacting us.
12. Your privacy rights
Depending on your location, you may have the right to request access to, correction of, deletion of, restriction of, or portability of your personal data; to object to certain processing; and to withdraw consent where processing is based on consent. You may also have the right to complain to a data protection authority. To exercise rights, contact info@soundfr.ee. We may need to verify your identity before fulfilling your request. We will respond within the time required by applicable law.
13. Children
Soundfr is not intended for children under 16 and we do not knowingly collect personal data from children under that age without required parental consent. If you believe a child has provided personal data to us, contact info@soundfr.ee so we can take appropriate action.
14. Third-party links and integrations
The Service may allow you to export or share transcripts to third-party services. Once you send information to another service, that service handles it under its own terms and privacy policy. Review third-party policies before using integrations.
15. Changes to this policy
We may update this Privacy Policy from time to time. If changes are material, we will provide notice through the app, by email, or by another appropriate method. The updated policy will be effective on the date stated above unless otherwise specified.
